Privacy notice

What we collect when you take a seat, and what we do with it.

Draft for legal review. Effective date: [date]. Controller: [Water Parliament entity and address]. Contact: secretariat@waterparliament.net.

1. What we collect

When you register with the Water Parliament we ask for your full name, your work email, the organisation you represent, the kind of stakeholder you are registering as, and, optionally, the chamber that interests you. We record the time of your registration and that it came from this website. We do not ask for or store your phone number, postal address, or payment details at registration.

If you write to the Secretariat, we keep the correspondence.

2. Why we collect it

To do what the registration promises: confirm your profile, place you in a chamber, and invite you to the sessions. We also use aggregate counts of registrations to understand how the site is working. We do not sell your details and we do not use them for advertising.

3. Where it is held

Registrations are stored in Airtable and confirmation emails are sent through Resend; both are United States based services acting on our instructions. The website is hosted on Vercel. Our technology partner, Neer Vazhvu, builds and operates the registration system on our behalf and processes your details only to do so. [Legal review: confirm processor terms with each provider and with Neer Vazhvu under the partnership agreement.]

4. Cookies and analytics

This site sets no advertising or tracking cookies. We use Vercel Web Analytics, which counts visits without cookies and without identifying you. We count how many people open and complete the registration form; those counts are not linked to you.

5. How long we keep it

We keep your registration while your seat is active. If you ask us to remove it, or if your seat has been inactive for [24 months], we delete it. [Legal review: confirm the retention period.]

6. Your rights

You can ask us at any time what we hold about you, ask us to correct it, or ask us to delete it. Write to secretariat@waterparliament.net and we will respond within 30 days. Depending on where you live you may have further rights under local law, including the right to complain to a supervisory authority. [Legal review: GDPR, UK GDPR, and US state law language as applicable to a US-hosted body with an international membership.]

7. Changes

If this notice changes in a way that matters to you, we will say so on this page and, for registered members, by email.
